Google Business Profile Setup: A Step-by-Step Checklist for London Businesses

By Sehrish Sattar, Founder & Lead Web Designer, Web Studio London ·

Quick Summary

  • Key takeaway: Setup is free and takes an evening, but Google decides which verification methods you get, so start before you need the leads.
  • Who this is for: London and Luton owners with a shop, an office or a service area who have no profile yet, or suspect theirs is wrong.
  • Why it matters: Your profile is the version of your business customers see in Search and Maps before they reach your website.
  • Reading time: ~13 minutes

Why Google Business Profile Setup Is Worth Getting Right

Can you really set up a Google Business Profile in one evening, or is that a job for an agency? For most London businesses it is an evening’s work. The catch is that the evening has to be careful.

Google Business Profile setup is the process of creating your free business listing on Google, adding accurate details such as your name, category, address and opening hours, and verifying that you own it. Once verified, your profile can appear in Google Search and Google Maps when local customers look for what you sell.

We are Web Studio London, a web design and digital marketing studio in Luton led by Sehrish Sattar, and we set up and repair Business Profiles as part of our local SEO for London businesses. This guide follows the order we would work in, written for owners who want to do it themselves or check somebody else’s work.

The stakes rise every year. According to the Department for Business and Trade’s Business Population Estimates 2025, the UK private sector grew by 3.5 per cent, or 191,000 businesses, in the year to the start of 2025. More businesses means more profiles competing for the same three map slots, so a half-finished listing has more to lose than it used to.

What Is Google Business Profile Setup? Google My Business Set Up Explained

Google Business Profile setup is the one-off job of creating, verifying and completing your listing, and Google My Business set up is the same job under its old name. Google renamed the product some years ago, but owners still search the old term, so you will see both in guides, agency proposals and older help pages.

The finished profile is what customers see when they search your business name, and what appears in the map pack and Google Maps when they search for what you sell. Creating it costs nothing.

Not every business qualifies. Google’s guidelines for representing your business expect you to meet customers in person, either at your premises or at theirs. A shop, a clinic, a café and a plumber who visits homes all qualify. An online-only business with no in-person contact does not.

GMB profile setup and GMB account setup: the old name for the same job

GMB is short for Google My Business, so GMB profile setup and GMB account setup are older searches for the job this guide covers. The two terms do point at different halves of it, and the difference matters.

The profile is the public listing: your name, category, hours and photos. The account is the Google login that owns and edits it. Get the profile right and the account wrong, and you can still lose control of your own listing when a freelancer moves on or an employee’s email is deleted. Decide who owns the login before you type a single business detail.

How to Set Up a Google Business Profile: The 10-Step Checklist

To set up a Google Business Profile, sign in to a Google account the business will keep, search for your business to avoid a duplicate, add it with your real name, category, address and contact details, verify it, then fill in every remaining field. Verification is the slow part, so start it early.

  1. Pick the Google account that will own the profile, ideally a business address you control.
  2. Gather your trading name, address or service areas, phone number, website, hours and services in one note.
  3. Search Google Maps for your business name and address to check nothing exists already.
  4. Add the business, or claim the existing listing if you find one.
  5. Enter your name exactly as it appears on your signage.
  6. Choose one accurate primary category, then secondary ones only for services you sell.
  7. Set your address or service area, opening hours, phone number and website.
  8. Verify using whichever method Google offers you.
  9. Add services, a description of up to 750 characters, attributes and real photos.
  10. Check the live profile on your phone, then save the login details somewhere the business owns.

Create my business profile: use one Google account you will keep

Use a Google account the business controls, such as a shared address on your own domain through Google Workspace, or a dedicated Gmail. Do not use one employee’s personal inbox, and do not let whoever builds your website create the profile on their own login. Ownership is where setups quietly go wrong.

Once the profile exists, make yourself Owner and add colleagues or your agency as Managers. Managers can edit the listing, and you can remove their access later.

Google business page create: search before you add

Search your business name and address in Google Maps first. Plenty of London businesses already have a listing they have never touched: a previous tenant’s, one a freelancer made years ago, or one Google built from public data. If yours exists, claim it. Google’s guidelines allow one profile per location, so a duplicate can be removed.

Set up my Google business: name, category and address

Enter the name on your shopfront, invoices and van, and nothing more. Google’s guidelines say your name should reflect your real-world name, which rules out adding something like Cheap Plumber Luton 24 Hours. A name stuffed with keywords can be edited or suspended.

Pick one primary category that describes what you are, not everything you do. I would put it near the top of the list of things that matter, but Google doesn’t publish weights, so that is judgement rather than fact. A Luton plumber should start with Plumber and add secondary categories only for work they actually sell.

Pick the category that describes what you are, then add others only for work you really do.

Put the pin exactly on your door, and add the unit or floor if you share a building. Google does not accept P.O. boxes, and a virtual office only counts if it is staffed during your stated hours. If you visit customers instead of receiving them, choose a service area and hide your address.

Set up Google business listing details: hours, phone and website

Hours must match reality, including the late finish on Fridays. Add special hours for bank holidays and Christmas week before they arrive, because showing closed on a day you are open costs you calls. Use a phone number you actually answer, and keep it identical to the one on your website.

Link to the page most useful to someone about to visit or call: your homepage if you have one location, a location page if you have several.

Verify the profile, then finish it

According to Google’s Business Profile Help on verification, the methods you see depend on factors such as your business category, public information, region and business hours, and you cannot change which ones appear. Some businesses need more than one method. Options include a video recording, a live video call and, where available, a postcard.

For a video, film at your business location. Show the exterior, the inside and something that proves you run the place, such as tools, stock or a till. Keep customers’ faces out of shot. Avoid changing your name, address or category while you wait, because Google says requests for extra information usually follow changed details.

Postcards are not offered to every business, so check which methods Google shows you.

Set up Google Business Profile services, description and photos

Once verified, add your services, a description, attributes and photos in the same week. Use your own pictures: the exterior, the interior, the team working and finished jobs. A verified profile with nothing in it is visible but unconvincing.

Google Business Page Set Up: Account, Listing and Profile Questions Answered

These phrases all describe one job: one profile, owned by one Google account, described and verified once. Each has its own snag, so here are the questions owners actually type.

How do I set up Google business page details from scratch?

There is no separate page to build. The Google Business page people mean is your Business Profile, and a Google business page set up starts by searching your business name while signed in, then choosing to add or claim it. Follow the prompts for name, category, address and contact details, then verify.

Google My Business account create: can I set up a Google My Business account without Gmail?

No. Any Google account works, including a Google Workspace account or an existing work email you register with Google. For a Google My Business account create step, pick an address the business will always control, so ownership never depends on one person’s inbox.

How do I set up Google My Business account access for a team?

Set up the Google My Business account under one owner login, then add colleagues from the people and access settings. Give Owner status to whoever runs the business and Manager status to staff or your agency. If you change agency, remove the old one’s access the same day.

How do I set up a Google business listing that already exists on Maps?

Claim it rather than adding a new one. Open the listing in Google Maps and choose to claim or manage it. If someone else already owns it, you can request ownership. Never create a second profile as a workaround, because that is how duplicates start.

How do I set up business profile on Google with no shop front?

Choose the service-area option and hide your address. List the areas you cover, such as LU1 to LU4 for a Luton trade, rather than every county you have ever driven to. Google’s guidelines say a service area shouldn’t stretch beyond about two hours’ drive from your base.

Google My Business account setup vs Google My Business profile setup: any difference?

Only in emphasis. Google My Business account setup is about the login and who owns the listing. Google My Business profile setup is about the public details customers see. You do both in one sitting, but decide the account first.

Google My Business profile set up: where do I set up Google My Business profile details today?

Sign in to Google, search for your business name or for add your business to Google, and follow the prompt in Search or Maps. To set up Google My Business profile details from a phone, use Google Maps. Google’s help pages still use both names, so searching either lands you in the same place.

Google Business Profile Setup Examples: Two London Scenarios

A clean setup takes hours, but a messy one can take months to unpick. Both examples below are hypotheticals with realistic UK numbers. They are not client results.

Take a Stratford barber who rebrands his shop in January. The old listing, built years ago by a freelancer who charged £120 and kept the login, still shows the old name, a dead phone number and 31 reviews. If he adds a fresh profile, he ends up with two listings and no reviews on the new one. Claiming the original keeps the 31 reviews, once he proves ownership and corrects the name, hours and number. Say six people a month still ring the dead line. That is six lost enquiries before anyone reads a review.

Three hours and no budget: that is what a tidy setup costs a café owner in LU2. She spends the first hour collecting details, the second choosing one category and photographing the counter and window on her phone, and the third on the video check, filming the shopfront, the till and the kettle. She changes nothing while she waits, so she gives Google nothing new to question. Luton owners who would rather hand it over can see our Google Business Profile setup in Luton.

Common Google Business Profile Setup Mistakes (and What Gets a Listing Suspended)

Most trouble comes from shortcuts around Google’s own guidelines rather than technical errors. Each one is tempting because a competitor seems to get away with it.

Creating a second profile instead of claiming the first

It happens because a search for your name shows nothing obvious, so you press add. Search by address and phone number too, then claim what exists.

Adding keywords or a location to your business name

Owners copy competitors. Google’s guidelines tie your name to your real-world name, so use the one on your van and invoices.

Watch out

A suspended profile can disappear from Search and Maps until Google reinstates it, and nobody can tell you how long that takes. Spend the extra hour on accuracy before you submit anything for verification.

Using a virtual office or a friend’s address

A pin on an address you don’t staff can fail verification or get the listing suspended later. If you work from customers’ homes, use a service area and hide the address.

Verifying in a rush and leaving the rest empty

A shaky video, no photos and a blank description leave you verified but invisible in practice. Do the video properly, then finish every field in the same week.

What a Complete Google Business Profile Setup Changes for Your Business

A complete profile gives customers a way to call, find or check you in one tap, and gives you numbers to judge it by. Here is what changes in practice.

  • Customers act without visiting your site. The call button and directions link sit inside the listing, so someone standing outside a Romford shop at 8pm can ring you in two taps. For a trade business, that call is often the whole sale.
  • You choose what Google says about you. Accurate hours, categories and services stop wrong information filling the gap. That matters most on bank holidays and when you move premises.
  • Reviews have somewhere to land. A verified profile gives happy customers a place to leave a review. Ask while the job is fresh and send the direct link.
  • You can measure it from day one. The Performance report counts calls, direction requests and website clicks. Check it monthly to see whether setup changed anything.
  • Your website gets better visitors. According to web.dev’s guidance on Largest Contentful Paint, a page should paint its largest element within 2.5 seconds to count as good. If the page your profile links to misses that, a WordPress rebuild with speed in mind is worth considering.

DIY Google Business Profile Setup vs Hiring an Agency

DIY setup suits one location with a clear category and no existing listing. An agency earns its fee on duplicates, suspensions, several locations, or when you simply have no evening spare.

Frequently Asked Questions About Google Business Profile Setup

How long does Google Business Profile setup take?

Entering your details takes one to three hours if you have your information to hand. Verification is the unpredictable part, because Google decides which method you get. Allow a few days at the least, and up to a couple of weeks if a postcard is involved. Avoid editing your name, address or category while you wait.

Is Google Business Profile setup free?

Yes. Creating and managing a Business Profile costs nothing, and you cannot pay Google for a better local ranking. Costs only arise if you hire someone to set it up, run Google Ads alongside it, or pay for tracking tools. Be wary of anyone charging for a listing that you could create yourself in an evening.

Can I set up Google business without a website?

Yes. The website field is optional. A profile without a site gives customers less to check, and Google says it draws on information from across the web, so even a simple site tends to help. If you need one, a five-page Starter site from Web Studio London costs from £499.

What if someone else already created my Google business page?

Search for your business on Google Maps, open the listing and request ownership. Google then asks the current owner to respond. If they don’t, Google’s help pages cover what to do next. Don’t create a duplicate in the meantime, because Google’s guidelines allow one profile per location.

Why does Google Business Profile verification fail?

Common causes include an address that doesn’t match reality, a virtual office, or a video that doesn’t show your premises, signage and proof that you run the business. Google also says changed details can trigger requests for more information. Fix the underlying problem first, then try again using the methods Google shows you.

Can I create my business profile for two London locations?

Yes, if each location is a real premises that you staff during its stated hours. Each one gets its own profile with its own address, phone number and hours. Don’t create extra profiles for areas you merely serve. Use the service-area setting on one profile for that.

What is the difference between Google My Business and Google Business Profile?

Nothing practical. Google renamed Google My Business to Google Business Profile, and the listing, the rules and the editing tools are the same job under the new name. Older articles, agencies and some owners still say Google My Business or GMB, which is why this guide uses both terms.

What should I do after Google Business Profile setup?

Ask recent customers for reviews using your direct review link, reply to every one, add fresh photos monthly, and check the Performance report for calls and direction requests. Setup gets you listed. Ranking in the map pack takes longer, and our guide to Google Maps ranking in London explains how.

The Bottom Line on Google Business Profile Setup

Three things decide whether setup goes well: one owner login you control, an accurate name, category and address, and a careful verification. After that, complete every field and add real photos in the first week.

What setup does not do is rank you. It makes you eligible to appear. Earning the top three takes reviews, a fast website and time, and nobody can promise a position. If an agency does, walk away.
